Instructions for Authors

The deadline for abstract submission has already passed. Authors have recently been informed about the acceptance of their contributions.

Submission of Full Papers or Extended Abstracts
As a next step, we kindly ask all authors whose abstract has been accepted as an oral or poster presentation to submit a full paper (4 to a maximum of 12 pages) or an extended abstract (maximum one page, no pictures). If you do not want to write a full paper, please update and extend your abstract so that it gives a comprehensive summary of what you are going to present.

Regardless of which option you choose, please be sure to use the appropriate template to create your final version and submit your document as a PDF file via ConfTool.

If you decide to write a full paper, the file must be checked by the IEEE PDF eXpress Checker before uploading it to ConfTool to ensure that all formal requirements are met. This does not apply to the extended abstract. To be able to use the IEEE PDF eXpress Checker, you need the following conference ID: 62010X.

Editing Core Contribution Details
Both for the extended abstracts and for the full papers you will be able to edit your core contribution details, i.e. authors list, affiliations and even the contribution title. Please correct mistakes but do not change the character of the reviewed proposal. For full papers, make sure the final version of title, authors, etc. from the paper is identical in the submission system. Please make any adjustments to your contribution details until March 25, 2024 at the latest. We need this information for the preliminary program in PDF format that will be published soon. Any changes that have not been made by then will not be included in the preliminary program. Please keep the authors’ list and affiliations as concise as possible. Do not include middle names, university departments or chairs, street addresses or postal codes. Thank you for your consideration.

In contrast to the abstract, names, affiliations, products and sources may be disclosed in the full paper and extended abstract.

The upload deadline for the full paper and the extended abstract is April 15, 2024!

Please note that those who opt for the extended abstract must make their slides or poster available to the participants. The finished poster must be uploaded to the conference platform (link to be announced) by May 28, 2024 and the slides by June 3, 2024. For authors of a full paper, making their presentation or poster available to conference participants is optional.

Please remember that for every accepted contribution one author will have to register at the author’s rate. The registration deadline for presenters is April 15, 2024.

Publication Info
An electronic version of the full papers and extended abstracts will be distributed at the event; and the full papers will also be available through IEEE Xplore after the conference. Publication in IEEE Xplore is optional.

Poster Guidelines

Mandatory Format: All posters must use our poster template, utilizing a portrait format (16:9). The monitors are 1212mm long and 683mm wide. Additionally, images must reach a resolution of 150 dpi (dots per inch) and bullet points should be used to reduce long text. Lastly, all posters must have a minimum text size of at least 18.
On-site Poster Sessions at the Conference Area: During coffee and lunch breaks, posters of selected sessions will be put in the spotlight. Two 15-minute slots are allocated for each poster. During these slots, authors will have the opportunity to introduce and exchange their work while the poster is being shown on one of the monitors. Beyond the poster sessions, posters will be shown in a automatically advancing slide show.
Online Poster Presentations: Besides complying to the stated mandatory format, online poster presentations must be pre-recorded (5-7 minutes). We recommend using 3 to 5 slides for illustration. A video recording in additon to audio is optional, but encouraged. Please visit our FAQs for further information.
Poster Template: Access the poster template here: Poster-templateEGG2024+.pptx. Presenters must include the mandatory format and banners. Beyond this, presenters may choose the design of their poster. If you wish to include project logos, etc., we encourage you to place them in the lower half of the poster. Please note: In order to adapt the slideshow, minor format changes may be made by the conference team after your submission.
Submissions: Extended abstracts and full papers must be submitted via ConfTool by April 5, 2024. All posters must be submitted as PDF and PowerPoint files via the conference platform (link will be announced later) by May 28, 2024. Please name your files following this example: PosterEGG2024 _ Abstract Number _ Name of presenting author _ First word of the title of the accepted abstract as poster.pdf [e.g., “PosterEGG2024_54321_Wattelier_E-mobility.pdf“]. The pre-recorded online poster presentations must be uploaded to the conference platform by June 3, 2024.

General information

Conference venue: The conference will be held in a hotel in the heart of Berlin.
Registration: For on-site participants, the fees include access to all sessions, recorded sessions, exhibition, catering, welcome reception, conference dinner and conference proceedings. Online participants can attend the sessions, watch the recorded sessions and download the conference proceedings.
Best Paper & Poster Awards: Every contribution will be considered for the Best Paper & Poster Awards. The award ceremony will take place at the closing of the conference.
Language: The official language for all presentations is English.
